Mass Email Integration Overview

Ascriptica allows you to send mass emails to your registrants. This is supported by a new integration with Mailchimp.

Mailchimp is well known for their email marketing capabilities which we’ve relied on for our own mass communication. As they have also stated, Mailchimp an “email marketing platform makes it easy for marketers in any type of business to send professional, engaging marketing emails.”

To facilitate this new process, Ascriptica now allows registrants to opt in/out of mass email communications. If opted in, Ascriptica will sync your registrants with a list you create in Mailchimp. This means you can leverage mailchimp to send out mass email communication to your full registrant list (based on who has opted in) and track the performance of your campaigns using its built-in tracking tools.

The entire process can be done in the following 5 steps:

  1. Generate an API Key
  2. Get a mailchimp audience ID
  3. How to setup Mailchimp to let Ascriptica know someone sub/unsubscribed
  4. Provide Ascriptica with the mailchimp connection details.
  5. Tell Ascriptica how often to keep mailchimp in sync as people opt in/out of mass emails.

How to generate a mailchimp api key:

  • Login to your mailchimp account and click on top right profile menu and click “Account & billing”, as shown below.

  • Click on “Extra” –> then “API Keys” 

  • Click on “Create A Key” button

  • Provide a name and click “Generate”

  • Copy generated key and store in a safe place as we will need to use in Ascriptica.

Generate and/or retrieve a MailChimp audience ID:

  • On left menu bar expand “Audience Menu” and click on “Subscriber preference”
  • On subscriber Preference page, click on settings menu –> Audience name and defaults.
  • Copy the audience ID below:

Have MailChimp notify Ascriptica if someone sub/unsubscribes.:

Sometimes Mailchimp provides the user the ability to subscribe or unsubscribe from your notifications. The following steps are necessary for MailChimp to let us know when that has happened so we can keep mailchimp and Ascriptica in sync.

  • On left menu bar expand “Audience Menu” and click on “Subscriber preference”
  • On settings menu click on “Webhooks” sub menu
  • Click on Create New Webhook
  • Set values like below and “Save”

Configure Ascriptica to connect to mailchimp:

  1. Navigate to Tools then Settings
  2. Click on mailchimp settings
  3. Enable mailchimp
  4. Provide the API key and audience ID from previous steps and click on save

How to tell Ascriptica when and how often to stay in sync with mailchimp:

  1. Navigate to Tools then Event scheduler
  1. Create a new event schedule of type “Sync mailchimp subscriptions”
  2. Set how often, the time, and status to active
  3. Click on save
