Invoice overview:
The invoicing system has been enhanced to provide support for invoicing districts or work locations. This upgrade allows administrators to generate invoices based on registrants who have participated in courses linked to the selected district or work location.
Note: Only registrants who selected bill to methods other than ‘self-pay’ will be included in the invoice.
The new invoice module can be accessed from the tools menu.
How do I generate an invoice?
- Click on tools
- Click on the invoice module.
- Click on “new invoice”
- Select who you would like to invoice:
- District: If invoicing a district, select the district you would like to invoice.
- Work Location: If you would like to invoice a specific work location/school, select the work location after you’ve selected the district.
- Determine if you would like a detailed or summarized invoice by selecting “Detail” or “Summary”. A summary invoice is grouped by courses and the count and cost for all registrants are summarized by course. A detailed invoice will display a breakdown of each registrant enrolled in each course, along with the corresponding cost for their enrollment.
- Select the courses you would like to include in your invoice by clicking on the “Add Courses” button.
- Use the filter in the pop-up to find the course(s) you would like to include.
- Once the list is populated, click on the checkbox by each course or click on select all to select all courses returned in your view.
- Click on “Get Courses” to pull in the courses you have selected to include in the invoice
- If you do not have the invoice# auto generation feature turned on, please provide an Invoice#.
- Click on Generate Invoice and follow the prompts to create your invoice.
- At the end you will be able to email or view on screen. Please note that even if you close the window, you will have an opportunity to view/email/download later.
How do I view a previously generated invoice?
- Open the invoice module
- Find the invoice by typing the invoice number in the search box or using any of the other filters to narrow down your search.
- Click on the “eye” icon to view a PDF copy of the invoice.
How do I download a previously generated invoice?
- Open the invoice module
- Find the invoice by typing the invoice number in the search box or using any of the other filters to narrow down your search.
- Click on the icon with the “arrow pointing down” to view a PDF copy of the invoice.
- Alternately you can download multiple invoices, by clicking on the checkbox by each invoice and then clicking the download button.
How do I cancel a previously generated invoice?
- Open the invoice module
- Find the invoice by typing the invoice number in the search box or using any of the other filters to narrow down your search.
- Click on the icon with the “x” to cancel the invoice.
How do I email an invoice?
- Open the invoice module
- Find the invoice by typing the invoice number in the search box or using any of the other filters to narrow down your search.
- Click on the icon with the “envelope” to email the invoice.
- Follow the onscreen instructions
